About the Opportunity

We are seeking an operations or facilities management expert to advise us on how to transition our 15-year-old community center from a reactive troubleshooting model to a proactive, preventative maintenance schedule. We need guidance on the specific inspection intervals that make sense for a multi-room facility (comprising three large assembly halls) and how to logically structure our internal records to prevent building degradation.
What is getting in the way of progress?

Our facility operations are currently entirely reactive. Maintenance needs—ranging from major HVAC and security systems down to hall projector wiring—are tracked informally via volunteer text threads. Because our volunteer board is heavily focused on weekly programming and immediate event coordination, we lack the specialized facilities knowledge required to establish a standardized framework for tracking asset health or organizing vendor histories.

We have maintained basic internal lists of known facility issues and established baseline spending limits for emergency repairs. However, we have not successfully moved beyond reactive troubleshooting because we lack an expert operational model to guide our planning.

The consultant will walk us through best practices in facilities management during a 60-minute strategic consultation. They will provide expert verbal input on how to categorize our building assets, what key elements belong in a master maintenance log, and how to structure vendor records for seamless team handovers.

In this 60-minute advisory conversation, we are looking for expert strategic recommendations and verbal guidance on establishing appropriate inspection intervals and log categories. Our internal team will take notes and build the physical templates, checklists, and documents ourselves based entirely on this guidance.

Success means our team leaves the conversation with a clear, actionable roadmap on how to structure a preventative maintenance framework. This expert guidance will empower our operations team to build our own functional log, catch infrastructure wear early, and preserve the physical integrity of our community center.
