About the Opportunity

The Comeback Project is a reentry and workforce development nonprofit serving Dallas and Ellis County. We use Salesforce Agentforce Nonprofit with a custom data structure we built ourselves: Case: one per client enrollment, with status (Active, Closed, In progress.) Client Intake, Service Delivered, Client Goals, Outcome Tracking. The structure exists but isn't producing reportable data. We need help making it consistent and reportable.

Project Goal: Build a Salesforce reporting dashboard that tracks our top 5 grant metrics, and adjust our existing objects and fields so staff enter data in a way that feeds those reports accurately.
Top 5 Metrics Funders Ask For:
- Clients served: unduplicated clients enrolled, by month and quarter, with basic demographics (county, months since release).
- Employment obtained: number and percent of clients who got a job, and time from enrollment to employment.
- Barriers removed: clients who obtained vital documents (state ID, Social Security card, birth certificate).
- Apprentice credentials: clients who obtained their apprentice licenses in trades
- Recidivism: clients with no new arrest or reincarceration at 6 and 12 months after enrollment.

Deliverables:
- Review of our existing objects and fields, with recommended fixes such as duplicate fields, missing picklist values, and required fields.
- Standardized picklists for Outcome Type and Goal Category, mapped to the 5 metrics above. One report per metric, filterable by date range.
- One Grant Reporting dashboard that shows all 5 metrics.
- A short guide (1–2 pages) or recorded walkthrough so our staff and volunteers enter data correctly.
Out of Scope: Volunteer management, donor and fundraising tracking, event management, and new custom objects beyond what's needed for the 5 metrics.

By the end of this project, The Comeback Project will have a Salesforce reporting system that produces accurate, grant-ready numbers on demand for our top 5 funder metrics: clients served, employment obtained, barriers removed (ID, documents, housing), training/credentials earned, and recidivism at 6 and 12 months.

The consultant will deliver:
1. Data Structure Review: An audit of our existing custom objects (Client Intake, Service Delivered, Client Goal, Outcome Tracking, and Case), with fixes for duplicate fields, missing fields, and inconsistent picklist values so every metric has a clear, reportable source.
2. Standardized Picklists: Outcome Type and Goal Category values mapped directly to our 5 metrics.
3. Five Metric Reports: One report per metric, filterable by date range and county (Dallas/Ellis).
4. Grant Reporting Dashboard: A single dashboard showing all 5 metrics at a glance, ready to pull numbers for grant applications and funder reports.
5. Recidivism Follow-Up Automation: A simple flow that creates 6- and 12-month follow-up tasks for case managers so recidivism data is collected consistently.
6. Staff Data Entry Guide: A 1-2 page guide or short recorded walkthrough so staff and volunteers enter data the same way every time.

Success looks like this: when a funder asks how many clients we served, how many found jobs, or how many stayed out of prison, we can answer in minutes with confidence instead of counting by hand. Our case managers know exactly where to log goals, services, and outcomes, and our data stays clean as we grow. We will be able to submit our next grant application with real outcome data pulled directly from Salesforce.
