Chart of Accounts

Our organization has been operating for 44 years. We need to update our chart of accounts without losing historical data. Our current chart of accounts is 8 pages in length. The chart of accounts does not align with the annual budget form we need to submit to our funder, making it difficult to prepare the required forms. Our current accounting software is QuickBooks (Desktop). We have been concerned about transitioning to the online version. We currently do not input the budget into QuickBooks, so comparing where we are at any point with expenses and budget amounts is difficult.
We operate an emergency shelter that is funded by Suffolk County. We also manage transitional houses that are funded through rental income. Some of the categories overlap. For example, a percentage of certain staff salaries gets allocated to both Shelter and Transitional. We bank at two different institutions, one for Shelter and the other for Transitional housing, keeping expenses separate (heating, utilities, maintenance, etc.)

By the end of this Project, we hope to have an updated chart of accounts.
