We are a small, survivor-led, volunteer-run 501(c)(3) with no dedicated accounting staff. Our QuickBooks records contain duplicate, missing, incorrectly categorized, or unreconciled transactions, and our chart of accounts needs refinement to reflect contributions, grants, fundraising, program, and administrative activity. We need support reviewing restricted and unrestricted funds, classifying expenses by function, and closing out our most recently completed fiscal year so our records are accurate and ready for tax preparation, grant applications, government reporting, and board oversight.
We are looking for a volunteer CPA or experienced nonprofit accountant for a remote, 10-week engagement (approximately 2–5 hours per week) to deliver the following. The volunteer will:
- Review our QuickBooks records for accuracy and completeness and document identified issues.
- Refine our chart of accounts to appropriately categorize contributions, grants, fundraising revenue, program expenses, administrative expenses, and other activity.
- Identify and resolve duplicate, missing, incorrectly categorized, or unreconciled transactions using available bank, credit-card, donation, grant, and expense records for the applicable fiscal year.
- Make necessary adjusting journal entries in QuickBooks or provide clear, written instructions for our team to implement them, documenting the purpose of each adjustment.
- Review the accounting treatment of restricted and unrestricted funds, grants, donations, reimbursements, and program-related expenses.
- Review expense classifications and recommend a consistent method for distinguishing program, management and general, and fundraising expenses.
- Complete the year-end close and generate a profit-and-loss statement, balance sheet, general ledger, and other supporting reports needed for tax preparation.
