ADUD is seeking a Microsoft 365 workflow specialist to turn selected AICE processes into practical, traceable workflows using native Microsoft tools such as SharePoint, Microsoft Lists, Forms, Power Automate, and Power Apps where justified and available. This is not a request to automate every ADUD process. The volunteer will establish a reusable workflow pattern and implement two to three priority workflows that demonstrate how AICE can move from document storage to active operations.
Priority candidates include a grant/opportunity and proposal tracker, project/task intake and assignment, internal approval/request routing, or another process selected jointly during kickoff. Each workflow should clearly identify owner, status, due date, approval/decision history, notifications, and completion/closeout. The solution should be maintainable by ADUD after handoff and should avoid premium connectors unless ADUD explicitly approves them.

ADUD manages multiple programs, grant opportunities, partnerships, volunteers, communications tasks, governance responsibilities, and organizational deadlines. Moving selected high-value processes into AICE will reduce reliance on email follow-up, improve accountability, make work visible to authorized leaders, and create structured data that can feed future management dashboards.
Preferred Volunteer Qualifications
• Hands-on Power Automate, SharePoint Lists, Microsoft Forms, and Microsoft 365 workflow experience.
• Ability to map business processes and simplify them before automation.
• Experience with approvals, notifications, role-based views, error handling, and auditability.
• Understanding of SharePoint permissions and data-security implications of workflow automation.
• Strong documentation and user-acceptance-testing habits.
Required Deliverables
• Reusable AICE workflow design standard covering intake, ownership, status, due dates, approvals, notifications, exception handling, audit trail, and closeout.
• Implementation of two to three approved priority workflows using Microsoft 365 tools available to ADUD.
• Standardized Lists/fields/statuses and reusable templates that reduce one-off workflow design.
• Role-based views so users see relevant work without exposing restricted information.
• Automated notifications/reminders/approvals where appropriate and tested.
• User acceptance testing with documented issues, fixes, and acceptance results.
• Admin/configuration guide, simple user instructions, and backlog of next workflows for future phases.
Out of Scope Unless Re-Scoped
• Building every corporate workflow identified in the AICE roadmap.
• Large custom software development or unsupported code that ADUD cannot maintain.
• Premium Power Platform licensing or paid third-party connectors without approval.
• Automating a process that ADUD has not first documented and approved at the business-process level.
