ADUD is seeking a skilled Microsoft 365/SharePoint professional to assess and map our existing ADUD Internal Information & Communication Exchange (AICE) and develop a practical target architecture for modernization. AICE already exists in SharePoint and includes institutional areas and libraries for governance, administration, projects, training, volunteers, finance, and other functions. We do not want a generic intranet redesign or a rebuild from scratch.
The volunteer will review how AICE is currently structured and used, identify security, permissions, information-architecture, search, governance, and workflow gaps, and help us establish a prioritized modernization plan. The assessment should cover the SharePoint site structure, document libraries, current navigation, permissions and group patterns, metadata/taxonomy, existing Lists/Forms/Power Automate components where present, stale or duplicated content, current Microsoft 365 capabilities, and major operational risks. The volunteer will then translate those findings into an actionable target architecture that subsequent implementation projects can follow.
ADUD is expanding its volunteer, program, grant, governance, and partnership activity. AICE needs to become the secure place where our people receive work, collaborate on documents, manage approvals, access institutional knowledge, and leave an auditable record. A strong assessment will help us modernize deliberately, avoid breaking useful existing structures, and invest limited nonprofit resources only where they create real operational value.
AICE is already live in Microsoft SharePoint, and ADUD leadership has completed a preliminary internal assessment and modernization roadmap. We can provide the selected volunteer with controlled access to the environment, current screenshots, organizational context, a leadership sponsor, information about our intended volunteer-collaboration model, and timely feedback.
• Current-state AICE site and information-architecture map, including key sites, libraries, major functional areas, and known workflow components.
• Permissions and access-control findings, including direct permissions, groups, ownership, external sharing, stale/guest access concerns, and areas requiring deeper tenant-level review.
• Content and records findings covering duplication, stale/historical content, taxonomy/metadata gaps, archive needs, and search/findability issues.
• Microsoft 365 capability/licensing inventory at the level reasonably available to the volunteer, identifying capabilities already available versus items requiring license confirmation.
• Risk and gap assessment ranked Critical / High / Medium / Low.
• Target AICE architecture showing proposed functional workspaces, role-based access model, content classification approach, and key system boundaries.
• Prioritized implementation backlog separating quick wins, foundational changes, and later-stage enhancements.
• Brief leadership readout and handoff session explaining findings, dependencies, and recommended sequencing.
Acceptance Criteria
• Assessment is specific to the existing AICE environment rather than a generic SharePoint checklist.
• Recommendations clearly distinguish “preserve,” “refine,” “retire/archive,” and “build.”
• No material production restructuring occurs without approval during this assessment stage.
• The target architecture is sufficiently detailed for ADUD to scope Projects 2-5.
• ADUD receives editable source files and a walkthrough of the findings.
• Hands-on Microsoft 365 and SharePoint Online architecture or administration experience.
• Experience evaluating SharePoint permissions, site/library architecture, document management, and governance.
• Working knowledge of Microsoft Entra ID, Microsoft 365 groups, Conditional Access concepts, Microsoft Lists, Power Automate, and information protection.
