Peacemakers’ Alliance is growing its programs, partnerships, and team, leading to evolving internal operational processes. Many recurring responsibilities and workflows remain informal, dependent on individual knowledge, or are not consistently documented. We seek support to clarify ownership of key responsibilities, identify and improve priority workflows, and create sustainable systems for managing recurring tasks, deadlines, and organizational commitments. Our goal is to implement lightweight structures that our small team can consistently use as we grow.
By the end of the project, we would like the volunteer to help us develop:
1. Map and prioritize the most important recurring workflows, focusing on perhaps 3-5 priority workflows.
2. Clarify roles and responsibilities for those priority areas.
3. Develop lightweight SOPs/checklists for 2-3 of the highest-priority workflows
4. Create a practical approach for tracking recurring deadlines, deliverables, and commitments.
As time allows:
5. Recommendations for lightweight tools or process improvements where useful.
6. An implementation roadmap for additional operational improvements that fall outside the immediate project scope.
*Success Metrics:*
Success would mean that our team has clearer ownership of recurring work, more consistent processes for priority activities, and practical tools that reduce reliance on informal knowledge or one person’s memory.
*Volunteer Role:*
The volunteer will serve as an operations thought partner and facilitator, working closely with our primary point of contact to assess current practices, gather targeted team input, validate proposed changes, and translate findings into practical tools and recommendations.
*Timeline:*
We anticipate the engagement lasting approximately 6-8 weeks, starting once the right volunteer is identified and onboarded.
*Communication Expectations:*
We prefer a pace that allows steady progress with limited, targeted team meetings. Most collaboration will occur between the primary point of contact and the volunteer, with team members brought in when their direct experience is needed to understand or validate specific workflows. We would also like to establish a regular check-in schedule and reasonable response expectations at the beginning of the engagement.
