About the Opportunity

The ImpactKits Project is transitioning from Asana to Plaky by CAKE.com as our organization-wide task and project management platform. We need an experienced task-management specialist to take ownership of designing and implementing our new system.

We are looking for someone with experience in Plaky, Asana, ClickUp, Monday.com, Trello, or similar task-management platforms. Plaky experience is preferred, but we are also open to someone with strong project-management and workflow-design experience who is willing to learn Plaky.

Our need goes beyond simply creating a Plaky account or transferring existing tasks. We need someone who can independently determine how Plaky should be structured for ImpactKits, build that structure, and prepare it for organization-wide use.

The volunteer will work independently, using information about our organizational structure, departments, leadership team, and volunteer programs to develop a practical system for managing work across Executive Leadership, long-term volunteers, and short-term volunteers.

The system should account for how our team actually works and should integrate naturally with our existing use of Google Drive and Google Chat. We want to establish a system that is organized, easy for volunteers to understand, and scalable as ImpactKits grows.

We have begun the transition internally, but we are specifically seeking someone who can take ownership of the planning, configuration, implementation, and initial testing rather than requiring our team to direct every step.

The volunteer will independently plan, build, and implement a functional Plaky task-management system for The ImpactKits Project.

The volunteer will be responsible for determining the appropriate structure and then configuring the system, with ImpactKits providing organizational information, access, and feedback as needed.

Key deliverables include:
- Plaky Workspace Architecture: Design and implement the appropriate Spaces, Boards, Groups, tasks, subtasks, and organizational hierarchy for ImpactKits.
- Department Workflows: Build practical workflows for our different departments and areas of work.
- Executive Leadership Workflow: Create a system for managing organization-wide priorities, strategic projects, assignments, deadlines, and approvals.
- Long-Term Volunteer Workflow: Build a system for assigning, tracking, reviewing, and completing ongoing volunteer work.
- Short-Term Volunteer Workflow: Build a simpler, structured workflow for temporary volunteers and their project-based assignments.
- Task Standards: Establish and implement standardized task statuses, priorities, ownership, naming conventions, due dates, and task descriptions.
- Templates: Create reusable task and project templates for recurring ImpactKits workflows.
- Permissions & Access: Configure or recommend appropriate access levels for Executive Leadership, long-term volunteers, short-term volunteers, and other users.
- Initial System Setup: Build the actual Plaky workspace rather than simply providing recommendations for our team to implement.
- Testing & Refinement: Test the system, identify issues or unnecessary complexity, and make appropriate adjustments before organizational rollout.
- Documentation: Create a concise internal guide explaining how ImpactKits should use Plaky and how different team members should manage their work.
