About the Opportunity

MOLA manages relationships and data across multiple areas, including individual members, mentors and mentees, scholars, donors, sponsors, foundations and grantmaking organizations, institutional and community partners, volunteers, speakers, conference attendees, and other program participants. As our programs and national reach have grown, information has been maintained across multiple spreadsheets, forms, email platforms, event systems, and other tools. We would like to move toward a centralized system that allows us to understand and manage the full history of MOLA's relationships with both individuals and organizations.

The CRM strategy should specifically address how MOLA can track:

Membership: membership status, membership type, renewals, engagement, professional background, program participation, and historical involvement with MOLA.
Sponsors: prospects, contacts, outreach, sponsorship opportunities, proposals, commitments, sponsorship levels, benefits/fulfillment, payments, stewardship, and renewals.
Foundations and Grantmakers: foundation contacts, relationship history, funding priorities, grant opportunities, applications, awards, reporting requirements and deadlines, previous funding, and ongoing stewardship.
Institutional Partners: healthcare systems, universities, corporations, professional associations, community organizations, and other partners, including contacts, partnership history, opportunities, agreements, and engagement with MOLA.
Programs and Events: mentorship, scholarships, educational programs, conferences, gala participation, speakers, volunteers, attendees, and other forms of engagement.

An important requirement is the ability to recognize that the same individual or organization may have multiple relationships with MOLA over time. For example, an individual could simultaneously be a member, mentor, speaker, donor, committee member, and conference attendee, while a healthcare institution could be a sponsor, institutional member, conference participant, employer of MOLA members, and program partner.

A stronger CRM and data strategy will help MOLA better engage our growing network of Latino healthcare professionals, students, mentors, partners, sponsors, and funders. By centralizing data and improving impact tracking, MOLA can strengthen relationships, expand programs and funding, and dedicate more resources to advancing Latino representation and leadership in healthcare.

MOLA has leadership support for developing a more centralized CRM and data strategy and is prepared to implement the recommendations from this project.

We can provide existing membership records, mentorship and program trackers, sponsor, foundation and grant information, event data, reports, forms, communications lists, and documented workflows. Key staff and leaders will be available to explain current processes, provide timely feedback, and meet regularly with the volunteer.

The resulting CRM requirements and implementation roadmap will guide MOLA's technology selection, data consolidation, reporting, and future system configuration.
