Xperitas is a small nonprofit that manages educational travel and cultural immersion programs for students. Our program team handles complex, time-intensive work involving itinerary development and comparison, educator and vendor communication, program pricing and budgeting, staff training, survey analysis, and process documentation.

We are seeking a volunteer with experience in generative AI, workflow improvement, and responsible AI adoption to work with our Director of Programs. The volunteer would help us:

- Review and map our current program-management workflows.
- Identify and prioritize practical, high-value AI use cases.
- Recommend appropriate tools and data-privacy safeguards.
- Develop one or two pilot workflows, templates, or processes.
- Create a realistic implementation and staff-training roadmap.

Our goal is to reduce repetitive work, improve consistency and documentation, and give program managers more time for the relationship-based and judgment-intensive aspects of their roles. We do not want AI to replace staff judgment, personalized educator support, or human decision-making related to student safety.
Xperitas’s mission is to expand access to meaningful educational travel and cultural immersion experiences that help students develop language skills, confidence, independence, and a deeper understanding of other people and cultures. Delivering these experiences requires significant behind-the-scenes work from our program team, including designing itineraries, coordinating with educators and international partners, managing program details, analyzing participant feedback, and preparing teachers and students for travel.

This project will help us determine how AI can reduce repetitive administrative work, improve consistency, strengthen documentation, and make valuable information easier for staff to access. This will allow our program managers to spend more time on the work that has the greatest impact: building relationships with educators, creating thoughtful programs, supporting students, and responding to situations that require experience and human judgment.

By helping a small nonprofit use AI strategically and responsibly, the volunteer will strengthen our ability to deliver high-quality programs, manage costs, and serve more students and educators with our existing staff capacity. The project will support not only greater efficiency, but also the long-term sustainability of an organization dedicated to creating meaningful connections across cultures. AI will support our staff’s expertise—not replace the personalized service, careful decision-making, and human relationships at the heart of the Xperitas experience.
Xperitas’s Executive Director and Director of Programs are committed to this project, and our Director of Programs will serve as the primary staff partner for the volunteer. She has already identified several areas where AI may be useful, including itinerary comparison, drafting support, staff training materials, survey analysis, and process documentation.

We recently completed a major technology transition that required us to review and redesign many of our program-management workflows. We can provide the volunteer with current process documentation, sample itineraries, training materials, surveys, communication templates, and examples of recurring tasks. We will also make relevant staff available to explain their work, identify pain points, and provide feedback on proposed solutions. Any sensitive student, family, or partner information will be removed from materials used during the project.

The recommendations will not sit on a shelf. Our Director of Programs will lead implementation by selecting one or two priority workflows to pilot, gathering staff feedback, documenting the approved practices, and incorporating them into staff training and standard operating procedures. The Executive Director will provide leadership support and help address any organizational or resource barriers. Our goal is to adopt AI thoughtfully—using it to reduce repetitive work and improve consistency while preserving staff judgment, personalized service, data privacy, and human decision-making related to student safety
