Operational Assessment and Process Mapping for Student Support Program

We're looking for a volunteer to assess our current operations and deliver a prioritized list of inefficiencies with practical recommendations, plus a clear implementation roadmap. The review should cover volunteer management, student intake and enrollment, session tracking and attendance, progress reporting, and internal communication between programs and administration (currently handled through email and biweekly meetings). We are looking for clear process maps or simple templates for these workflows.

Your time and skills will directly strengthen the foundation of a small nonprofit that serves about 25 students each school year — many of whom are low-income and from marginalized backgrounds in our community. Right now, our founder and board spend a significant amount of time manually coordinating schedules, tracking attendance, and managing communications between volunteers, families, and our in-person site at the Brentwood Library. Every hour you help us streamline those systems is an hour our team can redirect toward what actually matters: recruiting and supporting more tutors, improving session quality, and reaching more students who need academic support.

By the end of this project, you'll have given us a clear, actionable roadmap that makes it easier for volunteers to show up, for students to get consistent help, and for our small team to grow without burning out. That's the kind of behind-the-scenes work that keeps a program like ours running — and your expertise will be a big part of why it does.

The board of directors and founder will collaborate closely with the volunteer and provide necessary details during interviews. Our team has gathered and organized current documentation — including volunteer and tutee tracking sheets, session schedules, enrollment records, and internal communication workflows — so the volunteer can hit the ground running without digging for information. We're committed to regular check-ins and our team will actively pilot recommended solutions during the project, not just after. Once the volunteer delivers the assessment and implementation roadmap, our founder will take ownership of executing the prioritized improvements, with the board providing accountability and support to ensure the work doesn't sit on a shelf.
