AMI Technology Systems Optimization Initiative
AMI currently uses several technology platforms: WordPress, Mailjet, Google Ads, Google Analytics, Google Tag Manager, Meta Business Suite, and various online registration tools. While these systems support different aspects of our operations, they are not fully integrated, resulting in manual processes, duplicate data entry, inconsistent workflows, and limited reporting.
We are looking for a volunteer who can help us:
-Assess our current technology ecosystem and identify opportunities for improvement.
-Review our existing workflows for student inquiries, enrollment, communications, scheduling, and marketing.
-Identify opportunities to automate repetitive administrative tasks and improve data flow between platforms.
-Recommend technology integrations, APIs, or automation tools that fit the needs and budget of a growing nonprofit music school.
-Develop a prioritized Digital Transformation Roadmap with short-, medium-, and long-term recommendations.
-Recommend key performance indicators (KPIs) and reporting dashboards to help leadership monitor enrollment, marketing performance, and operational efficiency.
-Provide best-practice recommendations for documenting workflows and technology governance to support future growth.
The final deliverables we hope to receive include:
-A technology systems assessment.
-A workflow and process review with identified improvement opportunities.
-An integration and automation recommendations report.
-A phased implementation roadmap with priorities and estimated effort.
-Suggested KPIs and dashboard recommendations for ongoing performance monitoring.
As our organization continues to grow, our technology systems must grow with us. Today, many of our administrative and communication processes are manual or disconnected, requiring valuable staff time that could otherwise be spent supporting students, families, and educators.
By volunteering on this project, you'll help us build a stronger technology foundation that enables our team to work more efficiently, communicate more effectively, and make data-informed decisions. Your expertise will help us streamline operations, improve the enrollment experience, and create more consistent communication with current and prospective families.
The impact extends far beyond technology. More efficient systems mean our staff can devote more time to teaching, mentoring, and expanding access to music education. Improved processes will also support sustainable growth, allowing us to serve more students, strengthen community partnerships, and continue developing the next generation of musicians.
Your contribution will leave a lasting legacy by providing a roadmap that helps AMI operate more effectively for years to come. Together, we'll create systems that empower our team, enhance the experience for every family we serve, and further our mission of enriching lives through exceptional music education.
Before the project begins, we will gather and organize all relevant materials, including our current technology stack, workflow documentation, website information, CRM processes, marketing systems, and examples of our enrollment and communication workflows. We will also identify key staff members who can answer questions and provide feedback throughout the project.
We will designate a primary project coordinator who will serve as the volunteer's main point of contact, schedule regular check-in meetings, provide timely responses, and ensure that any requested information is delivered promptly. We are committed to respecting the volunteer's time by coming prepared to meetings and making decisions efficiently.
Our team is ready to review and implement the volunteer's recommendations. We anticipate using the final roadmap to prioritize technology improvements, strengthen system integrations, automate administrative processes, and improve reporting and data management. Some recommendations may be implemented immediately using our existing platforms, while others will be incorporated into our long-term strategic planning and future technology investments.
We value collaboration and are excited to learn from a skilled volunteer's expertise. Our goal is to build a sustainable technology foundation that supports organizational growth, improves operational efficiency, and enhances the experience of everyone who interacts with American Music Institute.
