Why We Give is a nonprofit organization focused on addressing hygiene poverty and advancing health equity through hygiene kit distribution, wellness education, and community partnerships throughout Los Angeles County.

We are seeking a volunteer with nonprofit bookkeeping or accounting experience to help strengthen our financial systems and ensure our QuickBooks setup accurately reflects nonprofit accounting best practices.

The project will focus on building a scalable financial foundation that supports future growth, grant reporting, and financial transparency.

* Review and optimize our current QuickBooks chart of accounts.
* Create or refine account structures for grants, donations, and program activities.
* Develop a process for accurately tracking in-kind donations from corporate and community partners.
* Establish systems for recording grant revenue and related expenses.
* Ensure income and expenses are categorized consistently and accurately.
* Improve reporting capabilities for board, grant, and annual reporting purposes.
* Develop bookkeeping workflows and documentation that can be maintained internally over time.
* Optimize a nonprofit-specific chart of accounts.
* Create account structures that support operational, programmatic, and fundraising activities.
* Establish account categories that allow for accurate financial reporting and analysis.

In-Kind Revenue Tracking

* Develop a process for tracking and recording in-kind contributions from donors and partners.
* Create categories for donated goods, products, and services.
* Ensure reporting aligns with nonprofit accounting best practices.

Grant Accounting Setup

* Create account structures for grants received.
* Establish methods for tracking grant revenue and related expenditures.
* Support grant-specific reporting and compliance needs.

Income and Expense Categorization

* Review current bookkeeping practices.
* Recommend standardized income and expense categories.
* Improve consistency and accuracy across financial records.

Preferred Volunteer Experience

* Nonprofit bookkeeping or accounting experience.
* Experience with QuickBooks Online.
* Familiarity with nonprofit financial reporting and accounting practices.
* Experience with in-kind donations, grant accounting, and restricted funding is highly preferred.

Desired Outcome

By the completion of this project, Why We Give will have a clear and sustainable financial structure that supports accurate bookkeeping, grant management, board reporting, and future organizational growth. *Experience with nonprofit accounting, in-kind donations, grant revenue tracking, and restricted funds is strongly preferred.
By streamlining and finalizing our current financial systems, we'll spend less time untangling spreadsheets and more time getting hygiene kits and wellness programs to families across LA County who need them.
We've acquired a new accounting software. We've had very basic training and have reviewed their guidelines on how to manage the system and run basic reports. We will designate a member of our team who will manage the volunteer and the project.
