Guidelines for Staff AI Usage

Our nonprofit wants to work more efficiently through use of AI, but do so responsibly. We are seeking a volunteer to work with our team to develop guidelines for our staff and board to follow while using AI. These guidelines could include: preferred tools, policies for sharing organizational IP, data privacy reminders, etc.

This project will also include helping us implement these guidelines. We will lean on your knowledge of internal communications best practices to plan for the rollout of our new AI guidance. This communications plan could include elements such as an all staff call, inclusion in our handbook, emails, etc. Our team will own the rollout, but your expertise will help set us up for success!

In short, by the time we wrap up this project, we will have developed internal documentation that guides the do’s and do not’s of our organization’s AI usage and an internal communications plan for the rollout of these guidelines.

To prepare for this project, we’ve compiled a list of the ways that staff or board are currently using AI or would like to utilize AI. We will share examples of other staff guidelines or policies that this volunteer can use for reference. We’ve also thought through some of the frequently asked questions as it relates to staff or board use of AI and will share that list with you during our project kick-off call.

We have collected surveys from all our staff on how they use AI, their level of expertise, and how they hope to use AI in the future. We have also collected feedback from the Tech Committee of our Board of Directors to assess their concerns.
