We currently do not have a CRM system and need one. We need to evaluate, choose and configure a CRM designed for arts events and fundraising (e.g., GiveButter, Bloomerang) and, in conjunction with our team, develop a plan to migrate legacy data from QuickBooks, our Heroku volunteer database, and Mailchimp into the chosen CRM. The CRM will replace the Heroku volunteer database and contain our audience and donor database. The project will deliver field mappings, import files or migration scripts, a basic CRM configuration for tracking donations and volunteers, buying tickets at tiered pricing and concise documentation for handoff. The ticketing system can be either separate or part of the CRM system, but if separate, it must interface with it.
Our mission is to provide a place for amateur musicians to play and bring free, affordable music to the public, especially the underserved. As our organization has grown to over 500 musicians, 3 orchestras, multiple ensembles and thousands of audience members, we have outgrown our current bootstrapped operational and management systems. We want to support and expand our community of people who love live music. To do that, we need much better ways of staying in touch with our audiences, engaging our musicians in programs and volunteering, and doing the nuts-and-bolts of accepting financial contributions at concerts and events. A unified CRM will let us accurately track and organize donations, volunteer activity, and audience engagement, improving donor and volunteer stewardship and enabling better outreach.
We have buy-in from the Board, funds available and a team made up of volunteers who are knowledgable about each of the current individual systems. Details will be provided during project interviews about current data interfaces, exports and reporting, access, and stakeholders. With a comprehensive migration plan developed with help from Taproot volunteers, our team can implement the plan, test imports, produce documentation and implement and maintain the CRM after the project.
