We are seeking a skilled volunteer with experience in HR operations and documentation to help us standardize and strengthen our internal onboarding and administrative processes. This project will focus on creating clear, consistent documentation that supports clinicians, interns, and staff across the organization.

The volunteer will review our existing onboarding materials and internal forms, identify gaps or inconsistencies, and develop structured onboarding checklists for clinicians, 1099 providers, interns, and salaried staff. They will also help standardize templates and formatting across internal documents to improve clarity, usability, and consistency.

In addition, the volunteer will review our current fee schedule and provide recommendations to improve clarity and transparency. This is a strategy and documentation engagement rather than full scale system implementation. The goal is to leave us with practical tools, standardized templates, and clear guidance that we can implement internally to improve efficiency and support a strong, well prepared team.
Strong internal systems are essential to delivering consistent, high quality mental health care. This project will help us create clear, structured onboarding and documentation processes that ensure every clinician, intern, and staff member is set up for success from day one.

By standardizing onboarding materials and internal templates, we can reduce confusion, improve efficiency, and create a more supportive experience for our team. Clear expectations and well organized processes allow clinicians to spend less time navigating administrative tasks and more time focusing on client care.

This work also supports sustainable growth. As we expand, having consistent and scalable systems in place ensures we can maintain high standards of service while bringing new team members on effectively. Ultimately, this project strengthens the operational foundation that allows us to provide accessible, reliable, and client centered mental health services to our community.
We have taken several steps to ensure this project is well prepared and can be completed efficiently within the volunteer’s time commitment. All existing onboarding materials, internal forms, and documentation are compiled and organized in one place for review. We have also identified priority areas for improvement, including onboarding workflows for different staff types, internal templates, and clarity within our fee schedule.

Leadership is fully aligned on the need to standardize and strengthen our internal HR and operational documentation. A dedicated point of contact will be available throughout the project to provide context, answer questions, and support timely decision making.

We are committed to implementing the final outputs directly into our operations. Updated onboarding checklists and standardized templates will be adopted across the organization, and refined as needed during rollout. This ensures the volunteer’s work will have immediate practical use and long term impact on how we onboard and support our team.
