Optimizing Use of Monday.com

A key component of this project is strengthening our use of Monday.com to better track organizational priorities and business processes. We are seeking support in designing and building structured boards that align with our operational workflows, including the creation of automated systems that track tasks, deadlines, approvals, and progress across teams. The volunteer will assist in developing “business guides” within Monday.com that clearly outline processes, assign responsibilities, and ensure accountability from start to finish. This includes setting up automations for status updates, notifications, and task progression, as well as organizing dashboards that provide leadership with real-time visibility into performance and outcomes. The goal is to create a streamlined, user-friendly system that improves efficiency, reduces manual follow-up, and ensures consistent execution across the Quality of Life ecosystem.

This project directly strengthens Quality of Life’s mission to transform the lives of youth, adults, and families navigating mental health and life challenges by ensuring our organization operates with greater structure, efficiency, and impact. As a growing ecosystem of care serving over 500 youth and families annually, our ability to execute consistently and effectively is critical to expanding access to mental health support, workforce development, and community-based services.

By improving our internal systems, particularly through enhanced use of Monday.com and streamlined workflows, this project will allow our team to spend less time managing tasks and more time delivering meaningful services to the community. Stronger systems mean faster response times, better coordination across programs, and more youth and families being connected to the support they need.

For the communities we serve, this translates directly into increased access to care, stronger program delivery, and more consistent support for youth facing trauma, behavioral challenges, and barriers to opportunity. For volunteers, this is an opportunity to contribute to sustainable, behind-the-scenes infrastructure that amplifies real, tangible impact. The systems created through this project will not only improve how we operate today but will continue to support our growth and ability to serve even more individuals in the future.

Our leadership team is fully bought into this work and understands the importance of strengthening our systems to support organizational growth and execution.

We have already begun organizing our current workflows, identifying key priorities, and gathering materials that will support this project, including existing Monday.com boards, internal processes, and examples of reporting and tracking needs. This will allow the volunteer to quickly understand our current structure and where improvements are needed.

A dedicated point of contact will be available to collaborate consistently, provide timely feedback, and ensure the volunteer has the information and support needed to move the project forward efficiently. We are prepared to meet regularly, respect the volunteer’s time, and clearly define goals, deliverables, and timelines from the start.

Most importantly, we are committed to implementation. The systems, automations, and tools developed through this project will be actively adopted across our organization, with leadership reinforcing usage and accountability. This work will directly enhance how we operate, ensuring that priorities are tracked, executed, and sustained long after the project is complete.
