Major Donor Prospect Research and Cultivation Playbook for Youth Film Nonprofit

The volunteer will create a major donor cultivation playbook and a researched prospect list of 20 to 25 individuals who are strong candidates for gifts at our top three donor tiers (The Benefactor, The Impresario, and The Executive Producer). The prospect list will be delivered as a structured spreadsheet with donor name, affinity indicators, estimated capacity, connection pathway, and a recommended ask strategy for each. The playbook will include a step-by-step cultivation timeline, template outreach language for initial contact and follow-up, a meeting preparation guide, and a stewardship checklist for post-gift relationship management.

Scope of work: Review our existing five-tier individual donor structure and the benefits assigned to each level. Define a major donor profile that aligns with our mission, programs, and geographic footprint across Boston, San Diego, Los Angeles, and New York. Research and identify 20 to 25 prospective major donors using public data, philanthropic databases, and affinity mapping to youth arts, film, cultural storytelling, and diaspora communities. Build a prospect spreadsheet with capacity ratings, affinity notes, and recommended connection pathways. Create a cultivation playbook covering first outreach, relationship building, the ask, and post-gift stewardship. Draft 3 template messages (introduction, meeting request, and thank-you) that our Founder can personalize for each prospect.

The ideal volunteer is a major gifts officer, development director, or fundraising consultant with experience building donor pipelines for arts, education, or cultural organizations, and who understands how to connect high-net-worth individuals to grassroots impact. This project should take 20 to 30 hours to complete. We are hopeful that our volunteer partner will share 3 to 5 hours of their time per week.
Ineffable Films empowers young filmmakers from international lineages to tell powerful, identity-rooted stories. We run programs like PolyNation (a five-month after-school film production for high school teens exploring their global identity), Mission Ineffable (a six-week summer creative internship where young artists design and launch a community arts event), and Motherland Lens (a filmmaking residency where emerging young filmmakers travel to their ancestral homelands to create personal films about culture, identity, and belonging). We operate in Boston, San Diego, Los Angeles, and New York, and every program is designed around one belief: that a teenager with a camera and the right support can change the way the world sees their community.

We have built the programs. We have built the team. We have built the donor tiers. What we have not yet built is the bridge between the individuals who care about young storytellers and the work we are doing every day to support them. Major gifts are not just larger checks. They are deep relationships between people who believe in something and an organization that is making it real. This playbook gives us the strategy and structure to build those relationships with intention.

A single major donor at The Impresario or Executive Producer level could fund a full cohort of PolyNation students, send a young filmmaker to their first international festival, or underwrite a Motherland Lens residency that sends a teenager back to the country their family left to tell a story that has never been captured on film. That is the kind of impact this project unlocks. Stories that Travel is not just our tagline. It is a promise, and every donor relationship we build is another way we keep it.
Ineffable Films has already built the donor infrastructure this project plugs into. We have a five-tier individual donor system modeled after historical arts patronage roles: The Supporter, The Patron, The Benefactor, The Impresario, and The Executive Producer. Each tier has defined benefits and recognition levels. We also have a completed corporate sponsorship tier structure (Diamond through Bronze plus In-Kind Partner) with a full benefits inventory, so the volunteer will see exactly how individual giving fits alongside our institutional fundraising. All materials are organized in Google Drive and ready to share on day one.

The volunteer will work directly with our Founder and CEO, who leads all donor relationships and will be the person executing the cultivation plan. Our Chief of Staff and Head of Events and Partnerships will also be available for context on upcoming events and partnership opportunities that could serve as touchpoints for donor engagement. Weekly check-ins will be scheduled at the volunteer's convenience, and feedback turnaround will be within 48 hours.

Once complete, the prospect list and playbook will become the primary tools our Founder uses for major donor outreach in Q3 and Q4. The template messages will be personalized and sent directly by our Founder. The stewardship checklist will be integrated into our CRM workflow in GoHighLevel so that every major donor relationship is tracked and nurtured consistently. We operate primarily in the Greater Boston area, including Somerville, Cambridge, and Brookline, with aspirations to expand our reach and impact.
