Clerical Assistance Volunteer

We want to create an organized, sustainable clerical support system that helps our C.E.O. manage high-volume paperwork and administrative tasks efficiently. With a skilled volunteer, we aim to:

Develop clear filing and alphabetizing processes (to the third letter)

Create standardized templates for thank-you notes and routine correspondence

Organize physical and digital records into easy-to-maintain systems

Document simple step-by-step procedures so future volunteers can be trained quickly

The end result will be a streamlined clerical workflow that saves staff time, improves accuracy, and ensures important documents and communications are consistently organized and accessible.

This project advances our mission by strengthening the operational infrastructure that sustains our frontline work. Reliable clerical support ensures accurate recordkeeping, timely correspondence, and well-organized administrative systems, enabling our leadership team to dedicate greater time and focus to program delivery, partnerships, and resource development.

By increasing organizational efficiency and reducing administrative burden, this project directly enhances our capacity to serve individuals and families experiencing homelessness with consistency, dignity, and care.

We will set this project up for success by providing a structured onboarding and support process for the volunteer. This includes:

A brief orientation outlining our mission, confidentiality expectations, and clerical priorities

Hands-on training with the C.E.O. on filing standards, alphabetizing rules, and record organization

Written guidelines and simple checklists for recurring tasks

Regular check-ins to answer questions, provide feedback, and adjust workflows as needed

A safe, comfortable, and well-equipped workspace with all necessary supplies

By combining clear expectations, practical training, and ongoing communication, we will ensure the volunteer feels confident in their role and can contribute effectively from the start.
