Human Resource Support for Structured Onboarding Systems

HJI is seeking a skilled Human Resource volunteer to create a complete and usable onboarding toolkit for new employees, volunteers, and interns.

The primary deliverable is a clear onboarding checklist paired with standardized document templates that can be immediately adopted by the organization. This includes materials that support compliance, consistency, and a professional onboarding experience across roles.

Specific tasks include
• Developing a role onboarding checklist that can be adapted for staff, volunteers, and interns
• Creating or refining document templates such as offer or welcome letters, onboarding forms, policy acknowledgements, and orientation materials
• Aligning materials with basic HR best practices while remaining realistic for a small nonprofit environment

Strong onboarding is foundational to mission delivery. By creating a consistent and thoughtful onboarding experience, this project helps ensure that staff, volunteers, and interns are prepared to contribute effectively from the start.

Clear onboarding systems reduce confusion, minimize administrative risk, and allow the organization to focus energy on serving its community rather than recreating processes repeatedly. The impact extends beyond internal operations. Well onboarded team members are better equipped to deliver programs with confidence, continuity, and care.

The organization will provide
• Existing documents, policies, and informal processes currently in use
• Clear points of contact and timely feedback throughout the engagement
• Context on organizational structure, staffing plans, and upcoming onboarding needs

The volunteer will work directly with organizational leadership, ensuring decisions can be made efficiently and materials do not stall in review. Once completed, the toolkit will be adopted as the organization’s standard onboarding process.
