Project Summary

We are currently using Mailchimp for our email marketing and are exploring transitioning to a more cost-effective and user-friendly platform. However, due to GDPR compliance requirements, we cannot simply transfer all existing contacts.

* We currently have at least 588 contacts, with 525 active email subscribers.
* Determine the best method for cleaning the list, and then carry out the cleanup.
* Based on preliminary research, multiple possible approaches exist to achieve this goal.

This volunteer role is critical to ensuring we meet compliance standards while optimizing our contact list for future use. You will analyze current list engagement, determine the best GDPR-compliant cleanup approach, and support the execution of that plan. Depending on capacity, you may also contribute to the planning phase of a platform transition.

Key Responsibilities

* Complete onboarding and training via ClickUp (our project management platform).
* Review Mailchimp's GDPR compliance materials and internal training documents.
* Conduct an audit of our contact list to identify disengaged or inactive subscribers.
* Research and analyze best practices for list cleanup in Mailchimp.
* Recommend and present an approach to the board, including GDPR-compliant cleanup steps.
* Assist in developing a project plan for execution (optional).
* Implement the approved strategy using Mailchimp features like Journeys or Campaigns.

Skills & Qualifications

* Familiarity with Mailchimp or other email marketing tools (strongly preferred)
* Understanding of GDPR and data privacy principles (training resources provided)
* Strong analytical and organizational skills
* Ability to synthesize research into actionable recommendations
* Clear and professional written communication skills
* Comfortable working independently and using project management tools (e.g., ClickUp)

* Well maintained contact list will help us segment our audience and tailor messages, and eventually help us fundraise and bring up program participation.
