Microsoft 365 And SharePoint Optimization
We’re seeking a skilled volunteer to help us reimagine and modernize our existing Microsoft 365 (M365) SharePoint intranet and Teams environment, used by staff, board members, and volunteers. The site was originally built using the older “classic” model, and we want to migrate to the modern SharePoint experience to leverage enhanced functionality, document management, and collaboration features.
Key Tasks:
• Review & Assess our current M365 SharePoint intranet and Teams setup.
• Design Plan & Migration: Develop a strategy to transition to the modern SharePoint experience while preserving essential content.
• Rebrand & Redesign: Refresh the interface to align with our organization’s branding, ensuring it’s engaging and user-friendly for all stakeholders.
• Implement Best Practices: Optimize site layouts, web parts, document libraries, and permissions.
• Train & Document: Provide basic documentation or short training sessions to empower our staff, board members, and volunteers to maintain and navigate the platform.
We anticipate the volunteer dedicating 2-5 hours per week over a limited number of weeks. We’ll collaborate on a realistic timeline that aligns with the project’s scope and complexity.

• Strengthen Program Delivery: With real-time collaboration and efficient document management, our organization can respond more effectively to participants’ needs and extend our reach in the community.
• Foster Engagement Across Stakeholders: An intuitive, modern platform will keep staff, board members, and volunteers aligned, fostering unity and shared purpose as we work to provide pathways to hope and economic mobility.

We’ve made thorough preparations to ensure this project runs smoothly and yields lasting benefits:
• Internal Buy-In: From our leadership team to our board members and volunteers, all relevant parties are enthusiastic about improving our SharePoint and Teams platform.
• Preparation & Resources: We’ll share necessary documentation, branding guidelines, and admin access to facilitate a seamless migration. We’ve also gathered an inventory of current site content, user groups, and key challenges.
• Clear Objectives & Collaboration: Our project goals center on enhancing user experience, streamlining document management, and boosting collaboration. We’ll schedule regular check-ins to ensure the project stays on track and to address any issues promptly.
• Implementation & Sustainability: Once the migration is complete, we’ll integrate the new intranet into everyday operations for staff, board members, and volunteers alike. A well-defined handover process and training resources will guarantee our team can maintain the platform beyond the volunteer engagement.
